So I am not sure what happened but when I set the site up it was fine now when people click on any meeting directory button - they get an admin login in pop up... I have reinstalled admintools I have compared my config to other sites I run with no issues.

All of my sites show that my version is out of date but you have nothing newer then I have.....

What happened to the stellar Akeeba????

You have protected the contents of your /administrator folder with a user ID and password. Any time a file is called from within the /administrator folder, the password is required. You have another extension which is improperly calling a back end file from the front of your site. You need to contact the author of that extension and advise them to correct this error. Until the error in the third party software is fixed, the only thing you can do is disable the /administrator password protection.

You are correct, the 90 day warning is incorrect. It will be removed in the next release of Admin Tools.

That's a work around, not a fix. :-)

The /administrator password is one layer of your security. You now have one layer less. It isn't like great hordes of hackers can now access your site, it is just a chink in your armor. If you are not using the secret administrator URL parameter (first tab in Configure WAF), you might consider that. It hides the back end login screen and makes it harder to access for those who don't know the secret. You can add the parameter to your bookmark and it is almost invisible to the real users.
